Share an application
Choose the audience for an app while retaining management and review boundaries.
Sharing lets people use an app without giving them ownership of its management workspace. Configure it in the app's Settings section. Different modes can be enabled together; removing one mode does not revoke access still granted by another.
Choose an audience
| Mode | Who can use the app | How to remove that access |
|---|---|---|
| Team access | Everyone in your tenant | Turn Team access off. |
| Share with specific tenants | Signed-in members of named tenants | Remove the tenant's grant. |
| Share with all tenants | Members of every tenant on this platform | Turn the all-tenants option off. |
| Share link | Anyone holding the generated link, without signing in | Revoke or regenerate the link. |
| Public app | Anyone at the app's permanent address, without signing in | Turn Public app off. |
Use Team access for colleagues and specific-tenant sharing for a defined external organization. Use a Share link when recipients should need the unlisted address. Use Public app when the named address should be openly accessible.
What sharing includes
Recipients can open and use the authorized app experience and the data it exposes. It is not a separate app or a private copy of its records. Team access also makes the app's workflows and data visible to teammates. Review the interface and data bindings before granting a broad audience.
Management remains with the owning app and tenant. Shared use does not transfer editing, lifecycle controls, parameter settings, or authority to change sharing. Owner review and decision endpoints are restricted: a share link or cross-tenant grant does not authorize review creation, source capture, edits, or decisions. Do not share an approval workspace expecting public visitors to become approvers.
Verify and revoke
After saving, test with the intended account or a separate signed-out browser session. The owner's signed-in session cannot demonstrate what an anonymous recipient sees.
Turning off a sharing mode takes effect for subsequent authorized requests; it does not erase information someone already saw or downloaded. Check all modes when closing an app. Moving the app to Trash stops its public access immediately while retaining sharing configuration for restoration.
