Give your team access
Make an app, its workflows, and its data visible to members of your tenant.
Team access shares an app with the members of your own tenant. It is useful for an internal tool that colleagues should be able to find, open, and use without creating individual copies.
Enable Team access
- Open the app workspace and choose Settings.
- Find Sharing, then enable Team access.
- Wait for the Saved confirmation.
- Give teammates the app address and ask them to open it while signed in to the correct tenant.
The app's workflows and data become visible to your team as part of this mode. Before enabling it, inspect the app's data sources and outputs so the visible information matches the intended audience.
Access is collective
Team access applies to the whole tenant. Turning it off removes this collective grant from everyone at once. The setting does not offer a per-teammate allowlist, and it does not make a teammate the owner of your app.
App management and restricted review actions keep their own permission checks. Being able to see and use an app is different from being allowed to edit its definition, change parameters, stop it, or record an owner review decision. A user may still have independent permissions on a workflow or resource; this switch does not redefine those other permissions.
Troubleshoot a teammate's access
Confirm the person is signed in to the tenant that owns the app. If the app address reports no access, try switching to the intended account. Confirm Team access actually saved and that the app is not in Trash or being deleted.
If you disable Team access and someone still opens the app, inspect the other modes. A Public app, valid Share link, or other tenant grant can independently permit use. Likewise, moving an app to Trash temporarily stops sharing, but restoring it restores the previous grants; review them before starting the app again.
For external organizations, use Tenant sharing. For anonymous recipients, choose between Share links and Public apps.
